Position Objective

The Attendee Relations & Experience Specialist is an important contributor to the Meeting & Planning division which currently produces 40+ programs a year. Programs include executive industry conferences, proprietary meetings, advisory meetings, and special events. This position will focus on creating the best attendee experience by perfecting areas such as event registration, room block management, and targeted attendee experiences specific to Winsight Leadership Conferences in the Foodservice and Retail divisions.

Position Responsibilities

Registration

  • Registration and Housing Lead for Winsight Leadership Conferences to include pre work, onsite team management and post-event analytics for the following events:
    • Convenience Retailing University
    • Restaurant Leadership Conference
    • Outlook Leadership Conference
    • FSTEC
    • MenuDirections
    • Global Restaurant Leadership Conference

Onsite

  • Lead onsite registration team
  • Manage process for attendee registration experience and identify if additional staffing and/or technology/equipment is needed
  • Ensure Cvent technology is set up and properly working prior to event’s start; troubleshoot any name badge printing or technology-related issues
  • Provide superior customer service and registration assistance to event attendees

Registration Website Creation & Management

  • Build, test and launch template or custom registration websites using the Cvent platform, including but not limited to, registration questions with advanced logic, targeted registration journeys, webpage content and overall site function and design
  • Ensure event registration websites are compliant with Winsight best practices, industry regulations, privacy and data policies as well as other regulations such as GDPR and CCPA
  • Build, test and launch post-event surveys using Cvent platform

Communication Management

  • Manage incoming and outgoing communication between Winsight and attendees via phone, email (via Winsight Events inbox) and face to face
  • Develop and maintain positive and professional relationships with vendors and attendees through excellent written and verbal communications
  • Create and distribute key event-related communications and work alongside Marketing team to ensure seamless communication strategies

Information and Data Management

  • Weekly registration reporting to include most current attendee numbers, YOY comparisons and room block numbers
  • Use BANT data to qualify individuals for targeted event participation
  • In partnership with attendee recruitment, manage and maintain sponsor-driven invitation lists
  • Creation and management of internal portals for access to registration reports by internal team and external clients
  • Update salesforce database to include most relevant attendee data
  • Create targeted attendee lists and make recommendations for event participation (share groups, 1:1s, etc)
  • Post-event registration reporting to include final attendee numbers, final room block numbers and projections for room block pick up and attendance numbers for future event contracts

Room Block Management

  • Proactively monitor the contracted hotel room blocks to avoid attrition fees and manage waitlists in oversold situations
  • Manage staff and speaker rooming lists
  • Monitor rooms pick up pacing for both current and previous years
  • Work with hotel to ensure compliance with all rooms reservations related concessions (rates, oversell, upgrades, other)

Budget Management

  • Create and maintain registration budget to include accurate forecast of costs such as registration technology, supplies, badges, lanyards, etc
  • Reconcile rooms portion of the final hotel bill

Knowledge, Skills & Abilities

What we look for:

  • Bachelor’s degree in Hospitality, Communications, Marketing, or Business preferred
  • 2 or more years of previous experience in the event planning industry preferred
  • Strong commitment to provide excellent customer service
  • Exceptional technology skills with the ability to learn the Event Management System quickly (Cvent and Salesforce experience a plus)
  • Strong foundation in the MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong data management skills
  • Detail-oriented individual with the ability to multi-task, problem solve and employ critical thinking
